🔍 What Each Column Tracks

ProviderName of the hospital, doctor, lab, or facility that billed you.
Date of ServiceWhen you received the medical service. Use YYYY-MM-DD format for easy sorting.
BilledTotal amount the provider charged. Compare this to your EOB — the difference is often negotiable.
Insurance PaidWhat your insurance company actually paid. Found on your Explanation of Benefits (EOB).
You OwePatient responsibility — the amount you're expected to pay after insurance. This is the key number to track.
Deductible ImpactHow much this bill counts toward your annual deductible. Track this to know when you're fully covered.
OOP Max ImpactHow much this counts toward your out-of-pocket maximum. Once you hit your OOP max, insurance pays 100%.
Payment StatusTrack whether each bill is paid, unpaid, partial, or in a payment plan. Never lose track of what's outstanding.
Date PaidWhen you made the payment. Useful for HSA reimbursement documentation (you can reimburse yourself years later).
EOB RefCross-reference to your Explanation of Benefits. Link each bill to its EOB so you can verify insurance processed it correctly.

Enter a bill each time you get one

Fill in provider name, date of service, and billed amount from the bill. Then cross-reference against your EOB for the insurance paid and patient responsibility amounts.

Compare bill vs. EOB

If the billed amount minus insurance paid doesn't match what you're being asked to pay, flag it in the dispute column. Common errors: duplicate billing, upcoding, out-of-network charges at in-network facilities.

Track your deductible progress

As you enter each bill, update the deductible impact column. When the total reaches your plan's deductible, your insurance coverage changes — know exactly when that happens.

Mark payments and keep for HSA records

When you pay a bill, mark the date and status. These records are essential for HSA reimbursement — you can reimburse yourself from your HSA years later, tax-free.
